Looking to plant some trees or maybe create a new planting bed? Within Trailhead Village landscaping changes must receive approval by the Landscaping Committee and the Board. This helps maintain a consistent well maintained look through the community as well as insure projects comply with our communities rules and regulations.
Steps for Landscape Review
- Review the Rules and Regulations for our community (found on the documents page of this website). These rules outline many different things you are and are not permitted to do. These are the same rules that the Landscaping Committee and the Board of Directors will use to review a submission.
- After you have read up on the rules you will need to fill out our Trailhead Village Landscape Review Form, the latest version can always be found on the Documents section of the website. This form asks for some basic information about your project. Please fill this form out as completely as possible, missing information or details will slow down the review process. Including pictures of the plants you intend to use can be very helpful.
- You can submit the form to the design review committee by email by sending it to landscaping@trailheadvillage.com OR you can put your request in the HOA mailbox located at the mailbox cluster.
- The landscaping committee will review your request and pass their findings along to the Board at which time the board will review the findings and determine if the project will be approved or rejected.
A couple of things to keep in mind:
- When submitting the form remember to be detailed. Failure to include something in your submission that later shows up in the project can cause issues. This includes details about the types of plants (pictures help!), their locations, quantities, and contractor vs homeowner installation.
- The review process can take up to 21 days to complete. It will often happen faster but there are no guarantees. Please plan properly! It is not the Boards responsibility to fit into your schedule.
- The HOA is not responsible for verifying property lines or reviewing your request for building code compliance.
- You do not need to submit a landscape request form if replacing like with like. i.e. you are replacing a dead boxwood with another of the same type.
