July Newsletter

Hello Trailhead Residents,

The Board hopes everyone is enjoying the summer rain.

Hopefully, we will continue to have some sunshine! Here is the neighborhood news for July.

General Items

The Board would like to thank everyone who attended the annual meeting this year. The board met on July 7th and determined positions for this years board.

  • Debra Marthey will be Treasurer
  • Kim Hren will be Secretary
  • Etta Wells will be Member at Large
  • The updated neighborhood roster is attached. Please remember if you want to change how your information is displayed to fill out at submit an information and privacy form (found on the website). If you catch a typo or other error please simply let the Board know.
  • Now that the Board has picked their positions, the Board now can proceed with the topics from the annual meeting and will be discussing them over the summer.
  • ​Residents who walk pets through the neighborhood please make sure to clean up after your pets on common grounds and other resident’s yards.

    Rules and Regulations

  • The board would like to remind everyone that the posted speed is 10mph
  • A quick note on exterior maintenance. The Board would like to remind everyone that exterior maintenance is the responsibility of the homeowner. Please keep up on maintenance items such as faded paint, exterior damage repairs, and other general exterior items.
  • ​​Please remember that recreation in the street is not permitted.
    With summer upon us j​​u​s​t a reminder that garden hoses should be​ kept​ on a hose ​reel.The landscapers will not be responsible for damages.

Mark your calendars! The annual community meeting will be held in the Berea Room at Berea City Hall, Tuesday June 9th at 7:30 PM, Sign in starts at 7:00​ PM.

The board is seeking nominations for an open position. If anyone is interested please contact the board. This is a great way to be involved in the community!

General Items

  • We are planning the morning watering schedule for the season. Please contact Sue Popadak sspopadak@sbcglobal.net if you are interested in helping.
  • Notifications for the annual meeting and proxy votes have been sent out. If you are not in receipt of them please let the board know. Proxy’s

  • Let the board know if you would like to have the floor during the New Business to speak about something. We will be sure you are listed on the agenda and have a chance to speak. There is limited time for new business and we will give priority to those who contacted the board ahead of time.

  • As always watch your speed when driving in and out of the neighborhood. It can be easy to go fast but with many blind turns in our neighborhood it can be a major safety issue.
  • A quick reminder that per the neighborhood rules and regulations residents should have their garage doors closed except for egress or when performing activities outdoors.

  • The board is seeking residents who are interested in joining the board! If you are interested in joining or would like more information please contact the board. Working on the board is a great opportunity to meet and interact with the entire community. If you are interested in running or nominating someone let the board know by May 9th. Nominees may choose to accept or reject their nomination.

Construction/Maintenance News

  • A notice will go out to residents prior to the date of the street crack repairs which is planned for the end of April.
  • Green Horizon will be starting the lawn repairs from the winter plowing. Seasonal mulching/fertilizing will begin mid April.

Rules and Regulations

  • Spring is a good time to refresh yourself by reading the rules & regulations, found on the website.
  • As always watch your speed when driving in and out of the neighborhood. We want to maintain a safe community.
  • A reminder, no recreational activities are permitted in the street.
  • Overnight parking is not permitted in the street. Please have guests use the parking pads.
  • Parking on the fire hydrant side of the street is prohibited by both the city and the HOA.
  • As a reminder, garage doors should only be open during egress times or when performing work outside of your home.

February 2015 Newsletter

Hello Trailhead Residents,

Here we are closer to the end of February and more than half way through winter…phew!

Hope everyone has been able to enjoy the winter! With spring just around the corner, please remember that if you want to make changes or additions to your landscape or exterior of the house, you will need to submit the appropriate forms.

General Items

  • The board would like to remind you to take the time to review our website occasionally as there are updates and notices posted.
  •  Continue to be mindful of your speed in and out of the community as the posted speed limit is 10mph.
  • Please continue to submit any ideas/ suggestions to the board in regards to the beautification of the community project. All suggestions are due byMarch 1.

January Newsletter

General Items

​The neighborhood was very festive this year with our decorations, and looked very welcoming. With that said, please remember that all decorations need to be removed by January 15, 2015. Hopefully (!) Mother Nature will provide the means to make snowmen and snow angels in their place.

According to the City of Berea, Christmas trees will be picked up for recycling (not in a bag), only on these days: January 9 and January 16.

In regards to snow removal for driveways, the company will not plow the driveway if a vehicle is parked outside.

In addition, according to the city ordinance, there is no overnight parking on the street, or anytime during a snow ban of 2 inches or more.

We would like to remind pet owners about being good neighbors. Please be mindful of cleaning up after your pet in all common areas and on personal property.

Please remember that there is no storage under decks.

Rules and Regulations

We would like to take a brief moment to remind everyone in the community about guest parking. When hosting an event where your guests will be parking in the street please remember that all cars must park on the non-hydrant side. Guest cannot park in front of our driveways. Our streets are not wide enough to permit double parking and still allow for the passage of cars past them. This is especially true of emergency vehicles which would have no way of getting through double parked cars. Our community can fill up pretty quickly if several people are hosting events. Please make sure to remind your guests to park on non-hydrant side of street, the parking pads, or Hobby Horse Lane. Ultimately, it is the homeowner’s responsibility to make sure their guests follow the rules. We appreciate everyone’s cooperation with this.

Hello Trailhead Residents,

Here is November’s newsletter.

General Items

  • A quick maintenance note to everyone. The Board is aware there are several areas throughout the neighborhood that have been worn out from vehicle traffic, specifically the turn from Trailhead to Side Saddle. The Board’s intent is to wait for construction to be completed before repairing these areas.
  • The Board would like to thank all residents who participated in the survey. This gives us valuable feedback on operations in the community and aids us in our decision making process. Attached to this month’s newsletter are the summarized results of the survey.
  • An updated roster is attached. Please remember if there are any typos, phone number changes, email updates, or name changes you may simply email the board with the update. If you are updating what information you wish to be displayed we will need a new Information Submission form filled out from the website.
  • The Board has scheduled crack filling for our road. We will notify the community prior to this maintenance occurring. Crack filling is a vital part of the long term maintenance of our road. It protects our road from water/ice damage through the winter months by filling cracks in the road with tar. However typically tar is worn away over time from traffic and therefore has to be reapplied every year or so.
  • The pond fountain will be turned off and put away before the end of the month.  It will be put back out in early spring.

 

Financial Items

  • Q3 Financials are attached. Finances are in line with the budget. The difference between the budget and actual expenses is due to an accounting change with our wall. This item was reclassified as a capital expense.
  • The Board is finalizing the 2015 budget and will have it completed by the beginning of December.
  • The Board anticipates a dues increase for 2015 of approximately 10%. Keep in mind this is the first dues increase since January 2008. All residents will receive official notification in December with the new amount and further details

 

Rules and Regulations

  • Residents are reminded to be mindful of their speed when driving in the community. We have had several complaints in regards to people driving too fast throughout the community.
  • A reminder that seasonal flowers need to be removed as winter approaches. In addition hose reels should be put away.
  • As a reminder, since elections are here, there are no political signs allowed in the community.
  • With the holidays around the corner we would like to remind everyone that holiday lighting cannot be on prior to Thanksgiving.

Hello Trailhead Residents,
General Items
  • The Board would like to thank everyone who attended the annual meeting this year.  We had a great turn out!
  • The annual Trailhead neighborhood party is scheduled for September 27th!  More details to follow.  If you would like to participate with planning please contact Karin Raaijmakers (Social Committee Chair).
  • The new bylaws banning sex offenders and allowing for the expansion/contraction of the board have been signed and submitted to the county.  Per rules and regs these bylaws are attached in this newsletter.  They are also available on the website.
  • The board met on July 1st and determined positions for this years board.  Brad will be President, Jack Popadak will be Vice President, Mark Angiocchi will be Member at Large, Doug Goepfert will be Treasurer, and Kim Hren will be Secretary.
  • The Board has been discussing the various lawn care issues in the community.  We are working on some new procedures to better track and follow up on issues as well as exploring other options.

  • Newsletter ideas wanted! The Board is seeking ideas for the newsletter.  We are finding it harder to generate enough content for a monthly newsletter.  We would like to hear ideas from residents on other things they would like to see or hear about each month.  The Board is also considering moving to a quarterly or bi-monthly newsletter.
Construction News
  • Several sales have happened in the community.  Lot 7 (the last home on the right side of Trailhead Lane) has sold and closed.  Lot 30 (the market home for sale on the left side of Trailhead Lane), has sold. The model home has also sold.
  • The final vacant lot (Lot 10 on Side Saddle) started construction and will complete in about 2-3 months.  It will be an Alistar design market home.
Financial Items
  • Q2 Financials have been attached.  Finances are sound and in good order. If you have questions please feel free to contact us.  Deviations from the budget come from homes in the community not closing when anticipated.
  • In the next few months the board will create the 2015 budget.  We will keep residents informed of any changes that might happen because of that.

  • It has been awhile since there has been construction in the community.  The Board would like to remind everyone  to please watch your speed.  There will be trucks/equipment parked in the street and workers moving about the area making our tight streets a little tighter.
  • A quick note on exterior maintenance.  The Board would like to remind everyone that exterior maintenance is the responsibility of the homeowner.  However the rules do require everyone keep their properties in good, presentable condition.  Please keep up on maintenance items such as faded paint, exterior damage repairs, and other general exterior items.
  • Please remember that recreation in the streets is not permitted.  We do not have sidewalks, forcing pedestrians to share the road with cars.  Please watch your speeds and drive carefully!

The annual community meeting will be held in the Berea Room at Berea City Hall, Tuesday June 10th at 7:30 PM . 
 
Residents, proxy statements were sent out with your notice of the annual meeting.  This statement must be signed and returned to the HOA regardless of whether you intend to come to the meeting or not. If you come to the meeting your proxy will be returned.
 
General Items
  • As summer begins to start we would like to remind everyone about the neighborhood rules in regards to items being stored outside. All outdoor items such as grills, benches, chairs, tables, or other outdoor accessory need to be stored on your deck/patio or garage when not in use. The landscapers will not cut a fairly large area near any items due to liability. The area under decks is not considered storage.
  • As always watch your speed when driving in and out of the neighborhood.  It can be easy to go fast but with many blind turns in our neighborhood it can be a major safety and liability issue which is why there is no playing in the street.
  • During the summer our four legged friends at ARF are spending more time outside.  If barking persists for more than 20 minutes please feel free to contact the Berea PD non-emergency number (440-826-5870) and they will address the issue.

  • Construction of the new wall by the parking pads on Trailhead Lane is scheduled to happen in the next two to three weeks.

  • The votes have been returned on the retaining wall for Trailhead Lane.  We received 100% approval for the action.  We are currently planning installation with the contractor.  As mentioned previously this will be a paver style wall similar in color to existing walls in the community.  It will include repairing drainage and proper tie backs into the soil.
  • Notification for the annual meeting and proxy votes have been sent out. If you are not in receipt of them by early in the week please let the board know.
