August Newsletter

Hello Trailhead Residents,
General Items
  • The Board would like to thank everyone who attended the annual meeting this year.  We had a great turn out!
  • The annual Trailhead neighborhood party is scheduled for September 27th!  More details to follow.  If you would like to participate with planning please contact Karin Raaijmakers (Social Committee Chair).
  • The new bylaws banning sex offenders and allowing for the expansion/contraction of the board have been signed and submitted to the county.  Per rules and regs these bylaws are attached in this newsletter.  They are also available on the website.
  • The board met on July 1st and determined positions for this years board.  Brad will be President, Jack Popadak will be Vice President, Mark Angiocchi will be Member at Large, Doug Goepfert will be Treasurer, and Kim Hren will be Secretary.
  • The Board has been discussing the various lawn care issues in the community.  We are working on some new procedures to better track and follow up on issues as well as exploring other options.
  • The updated neighborhood roster is attached.  Please remember if you want to change how your information is displayed to fill out at submit an information and privacy form (found on the website).  If you catch a typo or other error please simply let the Board know.
  • Newsletter ideas wanted! The Board is seeking ideas for the newsletter.  We are finding it harder to generate enough content for a monthly newsletter.  We would like to hear ideas from residents on other things they would like to see or hear about each month.  The Board is also considering moving to a quarterly or bi-monthly newsletter.
Construction News
  • Several sales have happened in the community.  Lot 7 (the last home on the right side of Trailhead Lane) has sold and closed.  Lot 30 (the market home for sale on the left side of Trailhead Lane), has sold. The model home has also sold.
  • The final vacant lot (Lot 10 on Side Saddle) started construction and will complete in about 2-3 months.  It will be an Alistar design market home.
Financial Items
  • Q2 Financials have been attached.  Finances are sound and in good order. If you have questions please feel free to contact us.  Deviations from the budget come from homes in the community not closing when anticipated.
  • In the next few months the board will create the 2015 budget.  We will keep residents informed of any changes that might happen because of that.
Rules and Regulations
  • It has been awhile since there has been construction in the community.  The Board would like to remind everyone  to please watch your speed.  There will be trucks/equipment parked in the street and workers moving about the area making our tight streets a little tighter.
  • A quick note on exterior maintenance.  The Board would like to remind everyone that exterior maintenance is the responsibility of the homeowner.  However the rules do require everyone keep their properties in good, presentable condition.  Please keep up on maintenance items such as faded paint, exterior damage repairs, and other general exterior items.
  • Please remember that recreation in the streets is not permitted.  We do not have sidewalks, forcing pedestrians to share the road with cars.  Please watch your speeds and drive carefully!
Landscaping & Design
  • The landscape and design forms have been updated on the website.  They now include a generic lot diagram.  When you are submitting your request please include the rough locations of items.  If you have your own diagram please feel free to submit it instead.  This will provide the committees and board with a better idea of your project.
  • Remember if you are planning landscaping or a architectural/design change you must submit a landscaping or design form to the respective committee.  All forms are available on the website.  When you fill them out you can drop them off to the committee chair in person or email them to landscaping@trailheadvillage.com or design@trailheadvillage.com and make sure to read the rules and regulations to see what is and isn’t permitted in the neighborhood.  Please remember that the review process can take up to 21 days to complete.

Grub & Cross Check Application 7/10/14

Residents,
Thursday (7/10/14) after our regularly scheduled cutting Moscarino will be applying grub control and cross check to lawns.  Moscarino recommended that all residents water their lawns for approximately 30 minutes withing 24 hours of application to guarantee the grub control has maximum effect.  If you have questions please let us know.

June Newsletter

The annual community meeting will be held in the Berea Room at Berea City Hall, Tuesday June 10th at 7:30 PM . 
 
Residents, proxy statements were sent out with your notice of the annual meeting.  This statement must be signed and returned to the HOA regardless of whether you intend to come to the meeting or not. If you come to the meeting your proxy will be returned.
 
General Items
  • As summer begins to start we would like to remind everyone about the neighborhood rules in regards to items being stored outside. All outdoor items such as grills, benches, chairs, tables, or other outdoor accessory need to be stored on your deck/patio or garage when not in use. The landscapers will not cut a fairly large area near any items due to liability. The area under decks is not considered storage.
  • As always watch your speed when driving in and out of the neighborhood.  It can be easy to go fast but with many blind turns in our neighborhood it can be a major safety and liability issue which is why there is no playing in the street.
  • During the summer our four legged friends at ARF are spending more time outside.  If barking persists for more than 20 minutes please feel free to contact the Berea PD non-emergency number (440-826-5870) and they will address the issue.
  • A quick reminder that per the neighborhood rules and regulations residents should have their garage doors closed except for egress or when performing activities outdoors.
  • Construction of the new wall by the parking pads on Trailhead Lane is scheduled to happen in the next two to three weeks.

  • Monday 6/2/14 Moscarino is planning on pruning.  Please make sure you have hoses and other obstructions in your beds put away.
  • As mentioned in a previous email, our mowing day will typically be Thursdays.  This is subject to weather and holidays.  Please remember to not water your lawns the day before mowing.

  • The votes have been returned on the retaining wall for Trailhead Lane.  We received 100% approval for the action.  We are currently planning installation with the contractor.  As mentioned previously this will be a paver style wall similar in color to existing walls in the community.  It will include repairing drainage and proper tie backs into the soil.
  • Notification for the annual meeting and proxy votes have been sent out. If you are not in receipt of them by early in the week please let the board know.

Lawn Mowing Day: Thursdays

Residents,
Moscarino has informed us that our normal mowing day will be Thursday this year.  The first mowing will be tomorrow (May 1, weather contingent).  Moscarino is aware of the wet conditions and has told us their crews will avoid especially steep areas this time.  The mow day can be subject to change due to weather or holidays but should mostly happen on Thursdays.  As we have asked in years past, please do not water your lawns the day prior to mowing, this increases the chances the mowers will cause damage to lawns.

April Newsletter

If you are interested in joining or would like more information please contact the board.  Working on the board is a great opportunity to meet and interact with the entire community as well as a chance to help manage and shape the community.  If you are interested in running please let the board know by May 9th.
  • As always watch your speed when driving in and out of the neighborhood.  It can be easy to go fast but with many blind turns in our neighborhood it can be a major safety issue.
  • As you may have noticed the second parking pad on Trailhead Lane is currently closed.  The retaining wall behind the pad has become unstable and is a safety risk to anyone who would park there.  The Board has begun working with an outside contractor to remedy the situation.  We anticipate the repair/replacement this spring.
  • A reminder to everyone that HOA dues are due on the first of the month.
  • Included is an updated roster.

  • The grounds manager will be repairing plow damage in the coming weeks.  The landscape committee has walked the neighborhood and made note of the damage that each residence has.

March Newsletter

Hey Trailheaders!  Here is a quick newsletter for the month of March.

General Items

  • Residents are reminded to watch their speed in the community.  There are several blind turns in our neighborhood that can be safety issues for both drivers and pedestrians.
  • Another automotive note.  There have been complaints about residents not driving on the correct side of the road and operating their vehicles in the community in an unsafe manner.  Please remember you should follow the same driving rules you would on any city street.
  • Recently yard waste was found on common grounds.  The Board would like to remind everyone that common grounds are not a dumping ground for peoples yard waste or garbage.  When found, it has to be removed at the communities expense.  If items are too large to fit in your garbage can please dispose of them during the bulk pick up days.  Also note that the cities yard waste collection starts April 18.
  • As you may have noticed the second parking pad on Trailhead Lane is currently closed.  The retaining wall behind the pad has become unstable and is a safety risk to anyone who would park there.  The Board has begun working with an outside contractor to remedy the situation.  We anticipate the repair/replacement this spring.
  • This winter has certainly been a change from recent ones.  The Board has been working with our current contractor on better timing.  The main issue was the contractor was arriving between 4 and 5 AM to plow which can potentially be too early if there is heavy snowfall.  They have acknowledged our concerns and will be aiming to get here closer to when people are leaving for work.
  • Road salt is now in very short supply across the entire region.  Our contractor therefore has been forced to use salt sparingly.  We made clear that Trailhead Lane and the intersection between Trailhead and Side Saddle are to receive salt before any other part of the community.
  • A final note on snow removal.  All the plow damage to homeowners yards will be repaired in the spring.  This is part of our contract.
  • Mark your calendars! The annual community meeting will be June 10th. Official notices and an agenda will go out in May.

Expansion of the Board

  • As we had announced in last months newsletter the Board will be expanding to 5 members from 3.  We wanted to include a brief description of these positions.  If you think this is something that might interest you we would love to hear from you!  We aren’t quite ready for official nominations but we would love to hear from members of the community that may have interest.
  • President – The president oversees meetings, scheduling, agendas, assignments, acts as a representative of the community with outside entities such as contractors, insurance agents, and lawyers.  The president also is in charge of homeowner relations and enforcement.
  • Vice President – The Vice President performs the same functions as the President.  Assisting the President in his/her duties.
  • Treasurer – The treasurer is responsible for dues collection, deposits, payables, documenting financial transactions, reconciling bank statements, helping with quarterly statements and year-end statements, helping with taxes.
  • Secretary – Keeps meeting minutes of all board meetings, annual meeting, and special meetings.  Handles communications between the committees and the Board.  Prepares the newsletter based on board members input.
  • Member at Large –  The member at large participates in all board meetings and votes.  They lend their opinion on issues presented to the board and assist other members with tasks as needed.
  • The Board will be seeking nominations in the coming months but as we said above we would greatly value and feedback and interest people have.

February Newsletter

Hey Trailheaders!  Here is a quick newsletter for the month of February.

General Items

  • The Board would like to announce a change to the structure of the HOA that will start after this years annual meeting.  During the first few years after the formation of our community there were not enough homes to justify a larger board as defined by the bylaws.  There simply was not enough to do or enough homes in the development.  Now that we are close to being built out the board has decided to move to the format as spelled out in the bylaws.
  • Right now we have a board of 3 members who each serve for 3 years and move up in position each year until they reach the position of president.  As our community has grown this has become an inefficient model.  We will be moving to a 5 member board with 5 independent positions (President, Vice President, Treasurer, Secretary, and Member at Large).
  • The existing board members will be staying, their positions will be determined prior to the board requesting applicants for open positions.
  • More details will be sent out in the months to come but we wanted to take the early opportunity to let everyone know of the upcoming changes.  If this interests you or if you have any other feedback at this point the board would love to hear it!

January Newsletter

Hey Trailheaders!  Here is a quick newsletter for the month of January.  Also included in this months newsletter is the latest neighborhood roster and the 2014 budget.

General Items

  • Remember to take down your holiday decorations, they should be down within two weeks of the start of the new year (1/15/2014).
  • Please remember that there is no overnight parking permitted in the street.  Please park in your driveway or a parking pad.
  • This quarters updated roster is included.  Please note if you wish to add/remove/change information or privacy preferences to fill out a privacy & information form which can be found on the website.
  • In regards to snow removal on drives, remember that the contractor will not plow drives that have cars parked on them.  This is a liability concern to the contractor.
  • Remember that city snow ban rules apply to our neighborhood as well.  When a snow ban is in effect there is no parking permitted in the streets.
  • A reminder that the following triggers are in place for snow removal in our community.  1″ on the main roads and 2″ on the drives.  This means that the contractor will remove snow/de-ice at 1″ on our streets but will not plow driveways until at least 2″ of snowfall occurs.
  • Due to the limited space in our community to store snow our contractor will push driveway snow into resident yards.  It is part of our contract come spring time however that the contractor repairs all damage done to yards due to this.
  • Residents please remember to bring in your trash containers by 7:00 PM after collection.

Financial News

  • Year end financials are in progress and will be distributed to residents upon their completion.
  • Included with this newsletter is the 2014 budget approved by the board.  Many things have changed over the last year in our finances.  As our community grows our costs increase. The board worked very hard to maintain our currents dues of 145.00 per home for 2014.
  • The board has increased the monthly capital contribution per home from 10.00 to 15.00.  This is the first step in insuring that we have capital for future items such as our road.
  • The budget was made possible only because of the competitive bid process for our grounds management.  Without this change we were facing a 25-35% increase in dues.
  • The final page of the budget shows you where your dues go each month.
